Description
  1. Summary – This person is responsible to assist the Superintendent in organization, planning and daily operation of the Superintendent’s office. This is an 8-hour, 12 month position.

           

  1. Essential Duties and Responsibilities include the following: Other duties may be assigned by the Superintendent or her designee.
  • Answers telephone; takes messages and distributes them to staff.
  • Accepts packages and supplies.
  • Opens and distributes mail. Operates postage machine as required.
  • Answers questions from the general public.
  • Serves as back-up Receptionist for the Board Office.
  • Serves as back-up Secretary for the Board of Education.
  • Produces letters and documents as requested.
  • Assists with the compilation of the Master Plan that is submitted to MSDE.
  • Maintains files and coordinates Superintendent’s calendar of appointments.
  • Takes minutes and transcribes data as required by the Superintendent, Designee or Board of Education member.
  • Coordinates scheduling dates and meeting rooms, hearings or work sessions for the Superintendent including arrangements for needed materials, equipment, etc.
  • Maintains contact with county administrators for information updates/clarification of issues, etc.
  • Prepares travel plans and makes travel reservations as directed.
  • Welcomes visitors and ensures their comfort while waiting to speak to the Superintendent or designee.
  • Places, receives and screens telephone calls and message recordings for the Superintendent

 

III.      Qualifications

Education and/or Experience

High School Diploma.  Additional related coursework or college training is preferred. 

 

Five years of business, agency or any school system office related secretarial work is preferred.

 

Certificates, Licenses, Registrations

A valid driver’s license is preferred.

 

Language Skills

Must is able to communicate orally and in writing effectively to a diverse general public.

 

Mathematical Skills

Must have general math skills with ability to manage a budget.

 

Reasoning Ability

  Ability to work effectively with others in all situations as well as must exhibit independent decision making skills.

 

Computer Skills

Excellent computer skills in all Microsoft Office software products.  Must be able to operate all office machinery.

 

Other Skills and Abilities

 Knowledge of the school system and the demographics of the County. 

 

Other Qualifications

            Position requires exceptional confidentiality skills with ability to determine what           information is confidential in nature.
