There is an immediate opening for this position. This is a 12-month 8 hour full-time position.

 

Summary:

 

The Student Data Coordinator supports the Student Information Department by managing and maintaining accurate student records and data systems. This role ensures compliance with state and federal reporting requirements, provides technical support for student information systems, and collaborates with staff to enhance data-driven decision-making. 

 

Essential Duties and Responsibilities include the following: Other duties may be as assigned by the immediate Supervisor and/or Superintendent or their designee.

  1. Data Management and Compliance:
    • Act as the primary administrator for PowerSchool, overseeing system setups, including calendars, gradebooks, and schedules.
    • Monitor and maintain student demographic and enrollment data, ensuring accuracy and compliance with state and federal regulations.
    • Serve as the Student Data Governance Representative to uphold data integrity and security.
    • Request and manage state-assigned student IDs and update related systems.
    • Set up and export School Survey files.

     2. System Support and Training:

    • Provide initial and ongoing PowerSchool training for staff.
    • Assist school personnel with troubleshooting issues related to PowerSchool and other student information systems.
    • Create and manage e-Collect forms and monitor their use.
    • Train school-based secretaries regarding data collection and enrollment.

      3. Reporting and Analysis

    • Generate and distribute monthly enrollment and demographic reports.
    • Assist with the development and submission of state and district-level reports.
    • Monitor and audit gradebooks and attendance data, ensuring accuracy and compliance, including EOC scores in gradebooks.
    • Manage Grade Change process.
    • Upload SSIS files.

      4. Technical and Administrative Support:

    • Update special program fields in PowerSchool, such as ELL, FARMS, Migrant data, and Accommodations uploads.
    • Develop and modify interim and report cards for all schools each term.
    • Create and edit form letters, labels, and data files as needed.
    • Manage and update student contact information.
    • Assist with data management in supplementary programs (e.g., PowerScheduler).

       5. Collaboration and Communication:

    • Act as the primary point of contact for parents using the Parent Portal.
    • Collaborate with HR to confirm new employee information before creating system accounts.
    • Coordinate with teachers to set up and manage gradebook systems.
    • Coordinate with the Food Service Supervisor to import Direct Certification data to PowerSchool.
    • Coordinate with Student Services Supervisor for Out-of-County Living Arrangement / Kinship Care processing.

 

 

Qualifications:

 

Education and Experience:

    • High school diploma required; Associate’s or Bachelor’s degree in Technology, Data Management, or a related field preferred.
    • Minimum of 3 years of experience working with student data or information systems.

Technical Skills:

    • Proficient in PowerSchool or similar student information systems.
    • Advanced skills in spreadsheet, word processing, and presentation software (Google Workspace preferred).
    • Familiarity with state reporting tools and third-party integrations.
    • Advanced knowledge of Excel and other data systems.

Communication and Problem-Solving Skills:

    • Strong ability to analyze and interpret data, write reports, and communicate effectively with diverse stakeholders.
    • Capable of troubleshooting and resolving system-related issues independently.

 

 

Physical Demands:

 

    • Ability to lift up to 25 pounds occasionally.
    • Regularly required to stand, walk, and operate office equipment.

 

 

Work Environment:

 

    • Typical office environment with moderate noise levels.
    • Occasional travel to schools or out-of-town meetings may be required.

 

 

Other Requirements:

 

    • Valid driver’s license preferred.
    • Commitment to maintaining confidentiality and ensuring data security.
